If you find yourself flailing when creating successful campaigns, our guess is that you’re not using a tried-and-true email marketing checklist. Sending a marketing email may seem simple, but there are a lot of moving parts behind every successful campaign. Subject lines, links, images, audience segments, calls to action, mobile formatting, personalization, and tracking all need to work together. One overlooked detail can lead to broken links, confusing messaging, or an email that simply does not perform as expected.
That is why having an email marketing checklist is so important.
A standardized checklist gives your team a repeatable process for reviewing every campaign before it reaches subscribers. Instead of relying on memory or assuming everything is correct, you can systematically check the strategy, content, design, functionality, and final send settings.
Using an email marketing checklist can help reduce mistakes, improve consistency, protect your brand’s credibility, and give every campaign a better chance of generating opens, clicks, and conversions.

Why You Need an Email Marketing Checklist
Even experienced email marketers make mistakes. A typo can slip through editing. A button can point to the wrong page. An old subject line can accidentally remain in a duplicated campaign. A segment can include the wrong subscribers.
For example, a few months ago, we were horrified to realize that we had two spaces after a word in one of our client’s emails. We promptly called them to fess up (true story), and they thought it was cute that we cared so much (and we do!). We didn’t make that mistake again.
An email marketing checklist creates a final safeguard against these problems.
Quality assurance, or QA, is the process of reviewing and testing an email before sending it. The goal is not only to catch obvious errors but also to confirm that every part of the campaign supports its intended purpose.
A good checklist helps you verify the following:
- The campaign has a clear goal.
- The correct audience is selected.
- The subject line and preview text are accurate.
- Copy has been proofread.
- Images display properly.
- Links lead to the correct destinations.
- Calls to action are easy to understand.
- The email works on desktop and mobile.
- Tracking and campaign settings are correct.
Following the same process for every campaign can also make your email marketing operation more efficient. Your team knows exactly what needs to be completed, reviewed, and approved before launch.
Email Marketing Checklist Step 1: Review Your Strategy
Quality assurance begins before the email is designed.
First, determine the purpose of the campaign. What do you want the subscriber to do after reading the email? Your goal might be to purchase a product, register for an event, download a resource, read a blog post, renew a subscription, or take advantage of a promotion. Every part of the message should support that goal.
Identify the target audience and make sure the campaign is relevant to that segment. Sending every email to your entire database may result in lower engagement if much of your audience is not interested in the content.
Before moving forward, your email marketing checklist should address several strategic questions:
- What is the primary goal of this email?
- Who should receive it?
- What value does the recipient receive?
- What is the primary call to action?
- Is there an incentive or offer?
- When should the campaign be sent?
- How will success be measured?
Without a clear strategy, even a beautifully designed email can fail to generate meaningful results.
Step 2: Prepare and Proofread Your Content
Once the strategy is established, begin developing the campaign content.
Start with a simple copy outline that includes the headline, supporting message, offer, key benefits, and call to action. This can help prevent the email from becoming unnecessarily long or unfocused.
Spend time brainstorming subject lines as well. (We suggest a list of at least 10.) Creating several options can help you move beyond the first idea and identify stronger ways to capture attention. You may also want to test different subject lines depending on your email platform and audience size.
Before approving the copy, check these elements:
- Is the subject line clear and compelling?
- Does the preview text complement the subject line?
- Is the main message immediately understandable?
- Is the offer accurate?
- Are dates, prices, percentages, and deadlines correct?
- Is the call to action specific?
- Are spelling, grammar, and punctuation correct?
- Does the tone match your brand?
Whenever possible, have someone other than the original writer proofread the email. Writers naturally become familiar with their own copy, making small errors easier to overlook.
Step 3: Build the Email Campaign Correctly
The next part of your email marketing checklist focuses on building the campaign inside your email service provider.
Start by confirming that you are using the correct campaign type and template. If you duplicate a previous campaign, carefully review every setting and content block so outdated information does not carry over.
Use a consistent campaign naming convention that makes emails easy for your team to identify later. This might include the send date, campaign type, promotion, or audience.
Then review the sender information:
- Is the sender name correct?
- Is the sender email address correct?
- Is the reply-to address correct?
- Has the proper recipient segment or list been selected?
Next, add your approved copy and graphics. Whenever possible, paste copy without unnecessary formatting so hidden styles from other programs do not create display problems.
Step 4: Check Images and Email Design
Visual elements can make an email more appealing, but they can also create problems if they are not properly optimized.
You need to review every image in the campaign. Make sure image files are appropriately sized so they load quickly and remain sharp on different screens. Then, add descriptive ALT text where appropriate so recipients can still understand the content if images do not load.
Your email marketing QA checklist should include these details:
- Images are the correct size.
- Images are clear and not pixelated.
- ALT text has been added.
- Linked images point to the correct URL.
- Background colors work with the images.
- Text is readable against the background.
- Branding is consistent throughout the email.
- Buttons are easy to see and click.
You should also avoid making important information available only inside an image. Important offers, deadlines, and calls to action should generally appear in live text as well.
Step 5: Test Every Link
A broken or incorrect link is one of the most frustrating email marketing mistakes because it directly interferes with the subscriber’s ability to take action.
Before sending the campaign, manually click every link. Not only will you need to check the main call-to-action button, but you’ll also need to review navigation links, logos, linked images, social icons, secondary buttons, text links, and footer links.
Additionally, confirm that each link leads to the correct page and that the destination page works properly on mobile devices. If you are using tracking parameters, verify those as well.
Your checklist should include all of the following:
- Logo link
- Header and navigation links
- Hero image link
- Primary CTA button
- Secondary CTA buttons
- Text links
- Social media icons
- Footer links
- Unsubscribe link
- Preference center link
If possible, have another team member test the links too.
Step 6: Use the Email Marketing Checklist to Review the Message on Mobile and Desktop
Your email might look perfect inside the editor but appear very different in someone’s inbox. So you’ll always need to send a test email before launching the campaign.
Make sure to view it on both desktop and mobile devices. Look for strange spacing, oversized images, tiny text, buttons that are difficult to tap, or content that extends beyond the screen. Pro tip: If your email platform allows you to view your campaign on multiple devices or email service providers, do so. A perfect email in Gmail can look askew in Outlook.
Does the hierarchy of the email still make sense on a smaller display? Subscribers should quickly understand what the message is about and what you want them to do without having to search for the call to action.
Also review the email with images turned off when possible. This can help you determine whether the message remains understandable without graphics.
Step 7: Complete a Final Email Marketing QA Review
The final review should happen immediately before sending or scheduling the campaign. At this stage, avoid making unnecessary last-minute changes. Small edits can introduce new errors that were not included in previous rounds of testing.
Perform one final check of the most important campaign elements:
- Correct campaign selected
- Correct audience selected
- Suppression lists applied if necessary
- Sender name and address correct
- Subject line correct
- Preview text correct
- Personalization fields tested
- Copy proofread
- Offer details verified
- Images reviewed
- Links tested
- CTA buttons tested
- Mobile version reviewed
- Footer information correct
- Unsubscribe link works
- Tracking is enabled
- Send date and time are correct
It may only take a few additional minutes, but this final check can prevent a campaign mistake that is impossible to undo once thousands of emails have been delivered.
Make an Email Marketing Checklist Part of Every Campaign
Quality assurance should not be something your team remembers to do occasionally. It should be a standard part of your email marketing workflow. A comprehensive email marketing checklist gives marketers, designers, copywriters, and campaign managers a consistent process for reviewing each message before it goes out.
It can also help prevent embarrassing typos, incorrect offers, broken links, formatting problems, segmentation mistakes, and other issues that can hurt the customer experience.
More importantly, a checklist gives your campaigns a stronger foundation for success. When your strategy is clear, your content is polished, your design works properly, and every link has been tested, subscribers can focus on the message instead of being distracted by mistakes.
Whether you send one campaign a month or several emails every week, creating a repeatable QA process can save time while protecting the quality of your marketing.
Before scheduling your next campaign, work through your email marketing checklist from strategy to final send.
